As of October 1, there are only 63 occupied racks in inventory at eFORT. The team was able to empty 11 racks in September alone! The project team is on track to move all state equipment out by July 2024, well before the end of the eFORT lease on Jan. 31, 2025. Way to go team!
The team is preparing to migrate the Colorado Department of Labor and Employment (CDLE) out of eFORT in December 2023. The team is working with CDLE to identify all remaining physical equipment and servers at the eFORT Data Center and to coordinate testing after the migration to ensure all systems operate normally.
Stay tuned for updates as the team continues working to exit eFORT and identify systems, servers and hardware for decommissioning or migration to the cloud or the Lakewood Data Center. With each successful move out of eFORT, we are consolidating physical IT assets, expanding the use of cloud infrastructure, and becoming more efficient in how our state data is collected, stored and used.
At the end of September, the OIT Voice and project teams were able to close out the CDPHE Phone Replacement project. CDPHE-managed Cisco phones that were at end-of-life (EOL) at the main campus and one other office location were updated and some staff were provided Jabber softphones. This project helps ensure CDPHE divisions and offices offering critical services to Coloradans can keep the phone lines working in a secure and modernized environment.
There were a lot of long hours and lessons learned, but this wouldn’t have gotten done without the close partnership with CDPHE. Huge kudos to everyone who helped support the project!
With the migration of the mainframe to the vendor-hosted environment complete, the team is now focused on modernizing several critical applications. This includes incorporating IT Service Management (ITSM) into the new mainframe environment leading to a better customer experience for our agency partners. We will also be one step closer to ensuring Coloradans will continue receiving life-sustaining benefits and support from our agency partners while setting the foundation for a modern, cost-effective, agile digital government in Colorado.
The Social Security Administration (SSA) has provided guidance on the necessary file naming conventions for jobs being sent and received between the state and the SSA.
Once the requirements have been met, the SSA will test for compliance. When the team has completed the updates and received approvals from the SSA, they will continue to work with our agency partners to ensure they can also test and implement the new file transfer processes. The team is continuing to work towards the goal of completing the project by the end of 2023.
A small group of files has been successfully tested within the new environment of the modernized Electronic Benefits Transfer (EBT) application. The project team along with the vendor are continuing to build the foundation (infrastructure) for the new application and testing additional components within the new environment.
EBT is an important application that the Colorado Department of Human Services (CDHS) uses to process financial files transmitted by CDHS products, including the County Financial Management System (CFMS), Colorado Benefits Management System (CBMS), Low-Income Energy Assistance to Parents (LEAP), Childcare Automated Tracking System (CHATS), and Colorado’s Statewide Automated Case Management System (Trails). These financial files are sent from the state to FIS ebtEDGE, the financial agency that applies money to the cards used to pay for goods and services by Coloradans. This system manages the financial information transfers needed to ensure Coloradans receive critical and life-sustaining benefits.
The project is 43% complete and is on track for completion by the end of January 2024.
The Salesforce security vulnerabilities project is nearing the finish line. All security vulnerabilities have been remediated and agency applications are now being tested. Once agencies complete user acceptance testing (UAT) their remediated applications are released to the live environments. The overall project is 96% complete.
