As the end of 2023 approaches, we wish you a happy and safe holiday season from the Tech Debt Remediation team. Thank you for joining us each month as we share the exciting news, major successes and lessons learned about our tech debt remediation work across OIT and the state. We look forward to sharing more great stories and updates with you in 2024.
Project Updates
When we officially began the work to clear out the eFORT Data Center in June 2022, we had 145 racks in inventory. Going into December, only 61 occupied racks remain at eFORT.
The Colorado Department of Labor and Employment (CDLE) was successfully migrated out of eFORT on Dec. 10, 2023. A big thank you to the project team and CDLE partners - this was one of the biggest agency migrations to date, and everyone owns this success.
Stay tuned for updates as the team continues working to exit eFORT and identify systems, servers and hardware for decommissioning or migration to the cloud or the Lakewood Data Center. With each successful move out of eFORT, we are consolidating physical IT assets, expanding the use of cloud infrastructure, and becoming more efficient in how our state data is collected, stored and used.
The OIT voice and project teams have successfully knocked out another round of phone system upgrades, this time for four CDHS Division of Youth Services (DYS) locations: Gilliam, Spring Creek, Marvin Foote and Platte Valley. The 300+ phones were at end-of-life (EOL), running on the old voice system and were updated to Avaya IP Office, a more reliable and secure phone system.
This project completion helps ensure that the impacted DYS locations have a dependable and modernized phone system, allowing CDHS employees to assist victims and promote positive youth development.
After close collaboration with the OIT voice team, agency partners and the vendor, the project team has gotten the green light to shift the cutover date for the Cisco MIPC to Cisco Webex DI migration to begin on Feb. 9, 2024 (originally September 2023).
This much-needed upgrade will address the outdated and less reliable phone service that most state agencies use by replacing it with a more efficient and secure platform. While the final push occurs in two months, the project team will continue to work with IT Directors and agency partners to complete the tasks needed before February. Stay tuned!
With the migration of the mainframe to the vendor-hosted environment completed, the team is now focused on modernizing and improving several critical applications. This includes incorporating IT Service Management (ITSM) into the new mainframe environment, leading to a better customer experience for our agency partners. We will also be one step closer to ensuring Coloradans will continue receiving life-sustaining benefits and support from our agency partners while setting the foundation for a modern, cost-effective, agile digital government in Colorado.
The ACSES project team has been working with several impacted agencies to complete user acceptance testing (UAT) to gather feedback and identify any potential issues with ACSES improvements. They also met with the Adobe licensing group and are waiting on the price quote for proposed upgrades to Adobe document processing functions within the ACSES application.
In the coming weeks, the team will expand UAT and continue to work toward implementing all upgrades and improvements within this project's scope. The project is expected to be completed by June 2024.
The Social Security Administration (SSA) certification has been received by OIT and test files are being shared back and forth. The team is moving forward with the remediation of identified risks and is on track to complete the project in early 2024.
Join us for updates on this and other tech debt projects in the new year!
The team is now working with the impacted agencies to test the applications post-remediation. They have remediated 100% of the identified vulnerabilities across all agencies. Only one application for CDOT and one for CDLE have not been moved to the live environment. The team expects to finish moving and testing the applications and finish the project in early 2024.
