Deleting a Document Observation Override Information

A district reported and NCDPI verified that upon deleting a Document Observation Override Activity in an Evaluation Observation the Pre-Observation Conference and the Observation Conference Evaluator completed form fields also deleted.

 

PowerSchool Support found that the three activities have an interconnected form. NCDPI is working with the vendor to clarify in the Document Override activity what other fields would also be deleted should an administrator choose to delete the override.  NCDPI will communicate an update when this is in place.

 

NCEES Administrators please share this information with your evaluators, observers and district administrators (who have access to the document override activity) to not use the delete button in the document override.

 

The Document Override activity is not a required activity and the plan can progress in the event the Document Override is clicked into and shows as In Progress.

The Document Observation Override is only utilized in the event a staff refuses to complete the teacher/staff acknowledgment activity.

Assign Re-open/Archive/Delete back to Superintendents/DAs

RE: NEW: NCEES Central Office View Only Role for Superintendents with a system admin type of District Administrator.

 

District Superintendents that handle archiving/deleting  staff plans and re-opening completed activities in staff plans reported that they could no longer complete those activities. This is due to the process to create the Central Office View Only Roles which removed the Re-Open Access Rights from Superintendents assigned as District Administrator in NCEES. (see article below)

 

PS Support found that Archive/Delete is part of the rights received with the Re-Open Access rights.

 

To assign Re-Open Access rights manually please refer to the following guides:

Assigning Re-Open Access Rights also assigns the ability to Archive or Delete Plans. This is not a full Delete - plans go into Deactivated status when "Deleted". The owner of the plan can view a deleted plan by navigating to My Evaluations > Deactivated Evaluations.

NEW ROLE

NEW: NCEES Central Office View Only Role for Superintendent DA

NCDPI is working with vendor PowerSchool to implement a Central Office View Only Role. The process to create this role will take place over the next several weeks.

 

The new settings will affect staff with Superintendent Budget Codes/Roles in NCEES that are also assigned the District Administrator system Admin Type.

  • 111 - Superintendent + District Administrator Type
  • 112 - Associate and Deputy Superintendents + District Administrator Type
  • 118 - Assistant Superintendent + District Administrator Type

Originally, when NCEES was implemented in 2014-2015 Superintendents assigned as District Administrators were to be fully a Central Office View Only role (view only all plans in your district).

The benefit to having this role is a quick way to allow Superintendents ability to view all staff plans in their location. This role is now being created and the following steps will need to take place.

The first step is that the 3 Superintendent roles (111, 112, 118 budget codes) no longer have Re-Open rights when assigned to District Administrator, instead those roles will have View Only Rights. This went into affect this past weekend. The Re-Open rights can be manually assigned back to those staff that need them. Here are the Help Guides to use:

In October's Vendor Feature Release, planned for Oct.. 24th, two editable fields will be added to the Staff Profile (DA - Assume Identity and DA- Ability to Assign Access Rights). On implementation both of these rights will be set to false for all District Administrators (no matter what budget/code role in NCEES). DPI and PS Support can check these boxes to be true. More on this will be communicated mid-October on how to PSU's can request staff with District Administrator Rights to have Assume Identity and/or ability to assign access rights.

 

Best Practice recommendation is that at least two DA's per PSU have those rights (the NCEES Coordinator and Back-up). PSU's are not limited to how many; please be planning which of your staff that you've assigned DA rights to will require Assume Identity (for troubleshooting) and/or ability to assign access rights to others.

NCDPI and PS will also be reviewing removing the DA right to archive and delete plans when a Superintendent is assigned as a District Administrator.
