The Opportunity:
WSDOT has a great opportunity in Shoreline for an energetic administrative professional. As a Secretary Senior you'll provide a wide variety of complex secretarial and administrative support to internal staff members as well as external stakeholders and will play a pivotal role in the overall success of the office.
Reporting to the Engineering Manager, position will support the Sno-King Design Engineering Manager and two design offices.

Responsibilities:

  • Provide administrative support and office duties for two design offices and the Sno-King design review staff.
  • Receive, review and distribute incoming mail and companywide e-mails.
  • Coordinate and schedule internal and external meeting logistics.
  • Manage travel arrangements, reservations, travel expense and per-diem reimbursement for all office team members in accordance to agency standards.
  • Review and proofread outgoing correspondence, as needed.
  • Utilize database software to maintain records.
  • Audit and review labor time sheets in the labor system for accuracy.
  • Establish and maintain office procedures and standards.
  • Maintain vehicle logs and coordinate car reservations, maintenance and repairs.
  • File and develop/maintain electronic filing systems.  
  • Process the purchasing and procurement of office supplies, furniture and other equipment.
  • Participate in all staff meetings, and attend staff development trainings

Required qualifications:
  • High School Degree or GED.
  • Valid Driver's license.
  • Proficiency with use of standard office PC applications and other technologies (Microsoft Office suite, Database software, Printers, Scanners, etc.)
  • Knowledge of basic administrative procedures, office practices, correspondence, meeting coordination and scheduling.
  • Quick learner – ability to adapt to changing environments and learning State's payroll and purchasing systems and software.
  • Exceptional organizational and communication skills, both verbal and written.
 

Highly desired qualifications:
  • 2 years of increasingly responsible administrative or secretarial support in an office setting.
  • Experience providing customer service in an office setting serving both internal and external customers.
  • Experience working with financial documents.
  • Experience creating, managing, and organizing various records and files.

Insurance Benefits

Retirement and Deferred Compensation
 
State Employees are members of the Washington Public Employees' Retirement System (PERS).  New employees have the option of two employer contributed retirement programs.  For additional information, check out the Department of Retirement Systems' web site.
 
Employees also have the ability to participate in the Deferred Compensation Program (DCP).  This is a supplemental retirement savings program (similar to an IRA) that allows you control over the amount of pre-tax salary dollars you defer as well as the flexibility to choose between multiple investment options.
 
Vacation (Annual Leave)
 
You begin accruing vacation starting your first month of employment. Since we value your loyalty, the amount of vacation you can accrue increases the longer you work with us. Washington State supports members of the armed forces with 21 days paid military leave per year. Vacation accrues for full-time employees per WAC 357-31-165.
