The Opportunity
WSDOT has a great opportunity in Shoreline for an energetic administrative professional to support the Northwest Region Real Estate Services Office. As a Secretary Senior you'll provide a wide variety of complex secretarial and administrative support to internal staff members as well as external stakeholders and will play a pivotal role in the overall success of the office.
This position will also provide administrative support for the Northwest Electrical Services and PS&E Review offices, as well as back up support for the Environmental Office and Landscape Architecture Office.

What to Expect

  • Provide a variety of extensive administrative support and secretarial support, relieving managers and supervisors of day-to-day clerical details
  • Receive, review and distribute incoming mail and companywide e-mails.
  • Coordination and scheduling of internal and external meetings logistics and conference room reservations.
  • Manage travel arrangements and reservations, travel expense and per-diem reimbursement for all office team members in accordance to agency standards.
  • Review and proofread outgoing correspondence, as needed.
  • Utilize database software to maintain records.
  • Audit, review, record and enter daily labor time sheets into labor system checking for accuracy of coding, overtime, comp time and leave usage, etc.
  • Analyze and reconcile credit card payments and any payroll problems; maintain leave usage and accrual records; respond to inquiries regarding these items.
  • Establish and maintain office procedures and standards.
  • Maintenance of vehicle logs, and coordination of car reservations, maintenance and repairs.
  • Filing and development/maintenance of the electronic filing systems; Utilize database software to maintain records; update and maintain office records, including: vendors, construction files, correspondence, purchasing, contracts, forms and records and a variety of manuals and other reference periodicals.  
  • Processing the purchasing and procurement of office supplies, furniture and other equipment.
  • Participate in all staff meetings, and attend staff development trainings
  • Other duties as assigned

 
Qualifications
To be considered for this opportunity, the following are required:
  • High school diploma or equivalent and 2 years of recent professional administrative office support experience that includes filing, office computer use and customer service in person, over the phone and via email. A college degree may substitute for the required 2 years of experience.
  • Valid Driver's license.
  • Proficiency with use of standard office PC applications and other technologies (Microsoft Office suite, Database software, Printers, Scanners, etc.)
  • Knowledge of basic administrative procedures, office practices, correspondence, meeting coordination and scheduling.
  • Quick learner – ability to adapt to changing environments and learning State's payroll and purchasing systems and software.
  • Exceptional organizational and communication skills, both verbal and written.
  • Ability to learn payroll programs within 6 months.
 
It is preferred that qualified candidates also have:
  • Experience providing excellent customer service in an office setting serving both internal and external customers.
  • Experience managing budgets, schedules, and filing for a professional office.
  • Knowledge of transportation and environmental issues. 
  • Knowledge, experience, and/or interest in real estate.
  • A Bachelor's degree.

  • Positions with an assigned duty station in King County are eligible for the King County 5% Premium Pay (listed in the current range).

Insurance Benefits

Retirement and Deferred Compensation
 
State Employees are members of the Washington Public Employees' Retirement System (PERS).  New employees have the option of two employer contributed retirement programs.  For additional information, check out the Department of Retirement Systems' web site.
 
Employees also have the ability to participate in the Deferred Compensation Program (DCP).  This is a supplemental retirement savings program (similar to an IRA) that allows you control over the amount of pre-tax salary dollars you defer as well as the flexibility to choose between multiple investment options.
 
Vacation (Annual Leave)
 
You begin accruing vacation starting your first month of employment. Since we value your loyalty, the amount of vacation you can accrue increases the longer you work with us. Washington State supports members of the armed forces with 21 days paid military leave per year. Vacation accrues for full-time employees per WAC 357-31-165.
