The Opportunity
The Northwest Region (NWR) headquarters office is seeking an energetic, customer service focused, organized person to join their team as an Office Assistant 3.  This position will provide back up for our receptionist and mailroom, so excellent customer service skills are necessary.  The Northwest Region employs more 1200 people and covers a geographic area from south King County to the Canadian border.
 
Are you organized, efficient and personable?  Then we may be looking for you to help with administration, timekeeping, receptionist and mailroom duties.  This position will work independently to ensure the smooth operation of the mailroom and front desk at our regional headquarters.

What to Expect
 
Among the varied range of responsibilities held within this role, the Office Assistant 3 will:

  • Process payments for orders made in the purchasing office for goods and services
  • Maintain confidentiality in assisting with NWR PDR requests
  • Back-up coverage of the NWR Reception desk
  • Greet visitors and answer multi-line telephone referring callers to appropriate offices
  • Assist in scheduling of conference rooms
  • Back-up coverage of the Mailroom
  • Receive Mail delivered by WSDOT Courier and Consolidated Mail Services
  • Processes outgoing US Mail and packages for daily pick up
  • Perform Timekeeper duties
  • Other duties as assigned
 
 
Qualifications
To be considered for this opportunity, the following are required:
  • High School graduate or GED equivalency.
  • Excellent Customer Service Skills.
  • Ability to deal with information in a confidential manner.
  • Must speak and communicate clearly and efficiently in order to process a high volume of calls in an expedient manner and to assist the public who visit our building, as quickly as possible.
  • Ability to remain calm during high stress situations that may arise from dealing with angry constituents or employees, on the phone or in person.
  • Must be able to work independently and use judgement to handle multiple tasks and to solve problems that arise due to scheduling conflicts, building emergencies, etc.
  • Must possess a valid Driver's License; ability to safely operate a vehicle to transport goods and materials.
  • Ability to identify, analyze and resolve problems.
  • Basic computer skills; Ability to maintain records and compute databases.
  • Ability to retrieve and relay information from various sources.
  • Ability to physically handle, sort and deliver mail, parcels and packages which may involve lifting and bundling on a daily basis.
  • Ability to lift/carry up to 50 lbs.
  • Ability to sit/stand for long periods of time.
  • Excellent communication skills and must be willing and able to relate with the public and other customers in a courteous and professional manner at all times.
  • Knowledge of Microsoft Office Suite software (Outlook, Word). ?
 
 
It is preferred that qualified candidates also have:
  • Knowledge of WSDOT departments and field offices, including their functions and locations within Northwest Region.
  • Knowledge of Washington State traffic laws and WSDOT vehicle accident reporting procedures.
  • 2 years of customer service experience specifically interacting with difficult customers.

  • The salary listed for this position includes a legislative approved 5% premium for workers in King County.

Insurance Benefits

Retirement and Deferred Compensation
 
State Employees are members of the Washington Public Employees' Retirement System (PERS).  New employees have the option of two employer contributed retirement programs.  For additional information, check out the Department of Retirement Systems' web site.
 
Employees also have the ability to participate in the Deferred Compensation Program (DCP).  This is a supplemental retirement savings program (similar to an IRA) that allows you control over the amount of pre-tax salary dollars you defer as well as the flexibility to choose between multiple investment options.
 
Vacation (Annual Leave)
 
You begin accruing vacation starting your first month of employment. Since we value your loyalty, the amount of vacation you can accrue increases the longer you work with us. Washington State supports members of the armed forces with 21 days paid military leave per year. Vacation accrues for full-time employees per WAC 357-31-165.
