The Opportunity
WSDOT is currently seeking an administrative professional who has exceptional organizational and communication skills to help support the NW Region Environmental Office. This professional will support a multi-disciplinary team by providing extensive administrative and secretarial support to the Environmental Program Manager, Principal Landscape Architect, unit supervisors, and staff members of the NWR Environmental office. 
 
Administrative tasks go beyond meeting office staff needs; the successful candidate must be friendly, approachable, professional, and proactive at meeting customer expectations and administrative deadlines. In light of this, an individual with initiative, an aptitude for process improvement, streamlined organization, excellent problem-solving skills, and enthusiasm for environmental issues is geared to thrive in this position.

What to Expect
Among the varied range of responsibilities held within this role, the Secretary Senior will:

  • Organize and prioritize administrative tasks in supporting the Northwest Region Environmental and Landscape Architecture teams
  • Produce various documents including memos, minutes, reports, forms, and notifications utilizing office software, and equipment
  • Proofread documents produced by the department staff
  • Provide customer support the department staff, including managing incoming phone calls, and assisting visitors
  • Audit and input daily labor timesheets into the labor system.  This may also include analyzing and reconciling errors on the timesheets
  • Independently process credit card reconciliation, payment vouchers, and travel reimbursements and maintain expense reports
  • Schedule meetings, conferences, and manage travel plans for managers and staff members
  • Maintain inventory records and order office supplies and equipment
  • Other related duties as required
 
Qualifications
To be considered for this opportunity, the following are required:
  • High School Diploma or equivalent
  • Two years of professional administrative office experience that includes office support and customer service; a college degree may substitute for the required experience
  • Strong computer and typing skills; familiarity with MS Office Suite
  • Excellent communication skills both written and verbal
  • Ability to apply various mathematical calculations for the determination of quantities or other work
  • Ability to listen and follow verbal instruction
  • Ability to read, understand and follow written instructions or procedures
 
It is preferred that qualified candidates also have:
  • Experience managing budgets, schedules, and filing (hardcopy and electronically) for a professional office
  • Knowledge of transportation and environmental issues
  • Experience working with payroll and timekeeping programs
  • Hold a valid WA State Driver's License to legally operate a motor vehicle

  • The salary listed for this position includes a legislative approved 5% premium for workers in King County.

Insurance Benefits

Retirement and Deferred Compensation
 
State Employees are members of the Washington Public Employees' Retirement System (PERS).  New employees have the option of two employer contributed retirement programs.  For additional information, check out the Department of Retirement Systems' web site.
 
Employees also have the ability to participate in the Deferred Compensation Program (DCP).  This is a supplemental retirement savings program (similar to an IRA) that allows you control over the amount of pre-tax salary dollars you defer as well as the flexibility to choose between multiple investment options.
 
Vacation (Annual Leave)
 
You begin accruing vacation starting your first month of employment. Since we value your loyalty, the amount of vacation you can accrue increases the longer you work with us. Washington State supports members of the armed forces with 21 days paid military leave per year. Vacation accrues for full-time employees per WAC 357-31-165.
