The Sixth Judicial District invite applications to fill a full time (1.0 FTE) Court Operations Associate position in St. Louis County, Hibbing, Court Administration, located at 1810 12th Avenue East, Hibbing, Minnesota. This position is anticipated to work on criminal, juvenile delinquency, civil, family, CHIPS, conciliation, child support, and probate case types. Assignment to other case types will be determined based on business need.

This is an AFSCME-represented position classified as Court Operations Associate within the Minnesota Judicial Branch job classification system and performs advanced court clerical work in a District Court of the Minnesota State Court System. Court Operations Associates work individually and in teams using independent judgment along with available resources to perform a variety of administrative assignments that require dedication to providing excellent customer service, strong attention to detail, and technological skills to match our electronic environment.

Work may involve responsibility for a specific area of court case processing or for performing a variety of advanced clerical functions in multiple case types and will require the application of independent judgment and the interpretation of policies and procedures based on training and knowledge gained through experience on the job. There will be frequent contact with the outside agencies, public, litigants, and attorneys at the counter, in the courtroom and on the telephone. Advice and assistance will normally be provided as needed by a Court Operations Supervisor or Court Operations Manager, but most functions will be performed with a minimum of checking or other supervision. Typical hours for this position are 8:00 a.m. - 4:30 p.m., Monday-Friday.

Example of Duties

  • Accurately complete administrative work in the office by performing high level case processing and data entry work for cases utilizing court technology systems
  • Provide excellent customer service by assisting and communicating with court users in a professional, courteous and respectful manner to ensure the customer's needs are effectively met at the front counter, over the phone, or through electronic means by processing payments, receipts, balance a till, and any other necessary financial processing.
  • Provide courtroom support by working with Judges, court reporters, and other justice partners to effectively manage court calendars, meet the business needs of the court and assure equal access for the fair and timely resolution of cases and controversies.
 
 

Typical Qualifications

Minimum Education and Experience:
 

  • High school diploma or equivalent
  • Six months of recent experience in a highly technical, administrative position (for example: court clerk, legal assistant, medical billing specialist, etc.)
OR
 
  • A combination of equivalent education and experience such as a Bachelor's Degree in criminal justice or related field 

Minimum Knowledge, Skills, and Abilities:
 
  • Proficient in Microsoft Office Suite, with the ability to learn other, job-related software
  • Ability to communicate effectively verbally and in writing with attorneys, probation, court staff, judicial officers, and the general public
  • Team orientated, with a positive attitude
  • Reliable, with the ability to meet commitments and keep work projects on task
  • Ability to multi-task, work well under pressure
  • Ability to develop and maintain effective relationships with the public, stakeholders and court staff
  • Ability to understand and explain instructions, policies, statutes, rules, procedures and systems to the general public
  • Ability to comply with data privacy laws and maintain confidential information
  • Ability to provide a level of customer service that meets/exceeds customer expectation and satisfaction
  • Ability to professionally exhibit cultural sensitivity, patience, and understanding in the course of work duties
  • This position may be working remotely temporarily, access to reliable internet connection is required during this time. 

 

Preferred Qualifications:
 
  • Possession of an Associate's or Bachelor's degree in a related field
  • Experience working in a courtroom setting, preparing court orders and court forms
  • Extensive knowledge of current court policies, procedures and processes with a high proficiency
  • Experience scheduling multiple appointments/hearings
  • Knowledge and working experience with MNCIS, and EFS
  • Detail-oriented and analytical
  • Strong organizational skills
  • Experience providing exceptional customer service
