How can I update my Legal Business Name, Doing Business As (DBA), And/or Physical Address in SAM.gov?


For registered entities, if you need to change your legal business name, doing business as, or physical address, you must confirm all screens in the registration. This can take one hour or more, depending on whether you are changing anything else and whether you have all your information ready. Set enough time aside to be able to complete the registration or save it and return later. Drafts remain in SAM.gov for 90 days.

Note: Documentation is not required to update the mailing address. That information can be changed on the "Business information" page in the "Core Data" section of the registration. P.O Boxes, Fedex locations, and virtual addresses are NOT accepted as validation for a physical address change. It must be a true physical address registered with USPS. If you do not have a registered USPS location, refer here for further instructions (KB0064042).

Here are some resources to help you prepare:

To update your legal business name, doing business as, or physical address in SAM.gov:

  1. Sign in to SAM.gov and begin the process to update your entity (KB0016307).
  2. Once you get to the following screen, select the option "I would like to update/renew my entire Entity Registration."

    Note: This step does not apply to entities that only have a Unique Entity ID and are not registered. 
     
    Question, What would you like to update? There are two options: 1) update Points of Contact, or 2) update/renew entity registration
     
  3. Select whether you want to change your purpose of registration (federal assistance only or all awards).

    Note: This step does not apply to entities that only have a Unique Entity ID and are not registered.

    Note: The purpose of registration questionnaire is only to be used as a suggestion tool based on the options you choose. There is no definitive right or wrong answer. If the suggestions provided do not meet your needs, you can choose another option. Refer to KB0070539 for a detailed video.

  4. The system will show you the information we have on file for your entity. Determine if the information on file has updated your name and address information:

    • If yes, review the updated information. Select the statement that the information is correct. If the updated changes need to be updated with the IRS and CAGE, you will need to continue updating your entire registration for verification. (no further action is needed on this article.)
    • If EVS has not updated your information or if your entity information has not updated accurately. select "This is not my entity's correct information and I can provide documented proof of our correct legal business name and address. 
       
  5. On the Update Entity Details page, review the information for the entity you selected. 
  6. Select the information that you need to update.

  7. Enter the correct entity details. Select "Next."

  8. Confirm your entity information that you updated is accurate. Select "Next."

  9. On the "Document Your Entity's Details" page, provide evidence of the change you made for your entity. 
    1. Review the entity information you updated to confirm it is accurate.

    2. Attach the required documents as evidence to support the change. 
    3. On the next section, provide additional information for the change. Select "Next"

  10. Once you submit, you will receive notice that your documentation has been submitted and provided with a reference number. Click "Return to Workspace."

  11. Review each section (core data, assertions (if applicable), representation and certifications, and points of contact) of your registration and, if needed, update the information, then submit. 
  12. You will receive a confirmation email once the registration has passed IRS and CAGE validations (if applicable) and is active in SAM.gov. 

Your validation ticket will stay open until your name and address information are validated against the documentation you provided. If you are asked for further documentation for your validation incident, here is how to upload it to your SAM.gov Workspace (KB0057690)

In the meantime, you do not need to take further action. We ask that you please not call or chat with the FSD about the progress of your validation incident. There is nothing the agent who answers call and chats can do to speed up the resolution.
