PSU Users’ Guide

Spring 2022

Users may complete this DLMI PSU Level Worksheet for planning purposes, but all data must be entered into the online system at https://schools.nc.gov/ncdlmi .

Updates & Changes for 2022

Structural Changes:

• NCEdCloud Integration-

• Users will no longer be required to use NCID to access the DLMI
• Users will sign in with their NCEdCloud Login

• PSU & School Levels only

• There is no longer a ‘Charter’ or ‘LEA’ level.
• Now there are 2 levels- PSU and School

• All PSUs will complete the PSU level (includes district/LEA, Charter, Regional, & Lab schools)
• All schools in a PSU will complete the School level (includes Charter, Regional, & Lab schools)
• Therefore, PSUs with only one school (most Charter, Regional, & Lab schools) will complete BOTH the School & PSU level

• Abbreviated DLMI for 2021-22

• As we are in the process of modernizing the DLMI instrument to align with new legislative mandates as well as the Digital Learning Plan, which is in development, the DLMI instrument for 2021-22 is abbreviated.
• The School Level in particular is significantly shorter and includes only the “Leadership” and “Tech and Infrastructure” Focus Areas.
• The PSU Level is also somewhat abbreviated.  It does not include the “Data & Assessment” or “Covid” Focus areas this year, and many questions have been omitted from other Focus Areas as well.
• However, it was necessary to add additional security questions to the Tech & Infrastructure Focus Areas.

Requesting Access via NCEdCloud

• Log in with your NCEdCloud Credentials

For Staff with no NCEdCloud access:

No Account At All: NCEdCloud staff accounts are created automatically based on being active in the Staff UID system. If the LEA Administrator for this PSU does not see the staff member at all in NCEdCloud, they will need to ensure the employee is active in Staff UID and Linq HR. If the employee is activated by 4pm, they will appear in NCEdCloud the next day. There is no way to manually add an employee to NCEdCloud outside of this process.

Account Not Claimed: If the PSU Administrator for this charter does see the staff member in NCEdCloud, they may just need to claim their account. Instructions to claim accounts are available here.

Request user role depending on access needed, then click “subscribe to Application”

PSU Inquiry only-

• view only access at PSU level

School Principal

• verify school level DLMI data, no PSU access

• default, allows user to complete a school’s DLMI, no PSU access

School Inquiry only (no edit access)

Save Changes

At the bottom of each section, there are buttons to ‘Cancel’, ‘Save Changes’, or ‘Save Changes and Go to Next Page’.

Always save your changes frequently to avoid losing work.

If you have any errors on the page and it will not save, there should be an explanation of the issue.

NOTE: After the collection window closes, the DLMI will be locked to prevent further editing.

PSU Level DLMI

• All schools in each PSU should complete the DLMI School Level inventory.
• All PSUs should complete the PSU Level (including LEAs, Regional, Lab, & Charter Schools)
• PSUs with only one school will need to complete BOTH the School & PSU inventories
• For this year we have eliminated the Data & Assessment and Covid Focus Areas because these data points either have been collected elsewhere or are no longer needed.
• Several items related to cybersecurity have been added to the Tech & Infrastructure Focus Area in the Network Services Element.

Download Data from previous years:

Due to structural changes and the need for fresh data for this year’s DLMI, no data is carried forward from previous years.However,  PSU or School admin may download data from previous years for their reference..

Leadership:

Shared Vision (1001)

• 1001: Provide a valid link to your PSUs strategic or technology plan. This can be a link to a shared Google Doc, .pdf, or website.
• 1002: OMITTED (combined into 1001)

Personnel (1003, 1004, 1005)

Important: Please include ONLY PSU level staff in these items.  School based staff will be reported on the School level DLMI

• 1003: The Digital Learning/Tech leadership positions were streamlined from 11 to 8 to  combine various titles used by PSUs for district level leadership positions into 3 Instructional Technology Leader, Technology Leader, and Library Media Leader

Validation

Before sign off, check the validation to ensure that all areas have “Yes’ Marked

If any are ‘no’, complete them

For any ‘partial’ a note will describe what is missing.  Complete the missing elements

Schools Check

• Click “Schools Check”  &  verify that each school in the PSU has all columns marked ‘Yes’ and that the principal has ‘signed off’  by adding his or her name
• If any are marked ‘Partial’ or ‘No’ or Principal sign off is missing, please ask the school to correct before completing the PSU admin Sign Off.

• Click the ‘Validation’ to see that school’s validation report for details on any partial or missing items.

PSU Admin Sign Off

After completing the PSU Validation and Schools Check, the PSU Administrator should complete the PSU Administrator sign-off to verify complete and accurate information for the PSU

Upload Schools’ Network Data

PSU Admins can use the Upload button to populate school network data

This populates School DLMI Questions 201, 203, 204, & 205 for all schools in the PSU

* Uploading School Network Data is highly recommended as it helps ensure accuracy and lightens the burden on Schools .  

If you are uploading this data for your schools, notify the responsible parties at the school levels..

To Begin:

1. Make a force copy of the upload template-->   DLMI Upload Template Google Sheet

• The sheet is formatted with data validation in cells to ensure accuracy & that the data uploads correctly.
• Please do not change the validation on the cells or your upload will not work.

2. Input the data for each of your schools in your LEA.

• Column A: School Code: Please use the 6 digit code for each school. Ex: LEA 123 School 456 -> 123456
• Column B: Total Number of APs: Please input a number.
• Column C: % of 5GHz APs: (LEAVE BLANK) This item was removed Please select the appropriate percentage range for each school.
• Column D: % of Aps < 5 years old: Please select the appropriate percentage range for each school.
• Column E: WAN Connection Type: Please select the appropriate WAN type.
• Column F: WAN connection speed: Please select the WAN speed or input other
• Column G. Other WAN Connection Speeds (Only applies if you put ‘other’ in column F)

• If you selected other in Column F and do not input anything in Column G, you will get an error message upon uploading.

3.  Download your Google Sheet file as a .csv file  

File -> Download as -> CSV (Comma Separated Values (.csv)

4. Upload the .csv file to the DLMI tool

Select your PSU then click ‘Choose File’ below, select the file, then click on the upload button below.

5. When the Next button appears, click on Next to continue.

6. You will now see the uploaded data and an error report. If you get an error, please correct the row in your .csv file and re-upload.

7. To move the data into the schools, click on Finish. You will now see the data aligned on your school report page in DLMI. If you need to make changes you can make them on the school report page.

8. Verify School Network Data

 You can verify that the data populated the School Network element  by checking any or all of the schools.  The answers should have populated for the Focus Area Technology and Infrastructure: School Networks 201, 203, 204, & 205
