Description

The Second Judicial District Criminal/Traffic Division is accepting applications for the position of Court Operations Associate in the Violations Bureau, 15 W. Kellogg Blvd, Room 130.  

Court Operations Associates work individually and in teams for a specific area of court case processing that requires dedication to providing customers with a professional, fair, impartial, and accessible court experience. This position provides a high volume of customer service in-person at the service counter and over the phone for all criminal cases, including parking and traffic. This position is highly detail oriented, requires a considerable amount of data entry, the application of sound, quick, independent judgment, and the ability to effectively communicate. Other tasks may be assigned as deemed appropriate.

Work requires the exercise of judgment in accordance with instructions, rules of court, state statutes, court and office policies, and procedures. Work is evaluated for accuracy, completeness, timeliness, and adherence to guidelines and requirements. Positions in this classification receive occasional assistance as new or unusual situations arise. Advice and assistance will normally be provided by a Court Operations Supervisor, a Court Operations Lead Worker and/or a Court Operations Specialist.

This position may be required to work in multiple locations. Work will be performed onsite and remotely, including the ability to be called in to work onsite with short notice. Access to reliable internet is required.

Example of Duties

Job Responsibilities:  Examples listed below may not reflect all duties performed.

  • Perform the full scope of varied clerical court work involved in Minnesota Court Information System (MNCIS) case processing.
  • Perform financial activities, including receipting of payments, reconciling own cash drawer, and handling and reconciling monies.
  • Answer telephone calls and inquiries from the public regarding citations and/or cases in Ramsey District Court; provide assistance, information, and instructions to callers regarding fine amounts, fine payments, hearing officer appointments, court dates, and other court information.
  • Review reports and take necessary action in accordance with established procedures and/or court rules.
  • Notify appropriate agencies to clear defendant records and reinstate suspended driver’s licenses when appropriate.
  • Scan or attach documents and assign the appropriate document security.
  • Perform quality assurance checks on documents entered into the court record.
  • Accurately enter required permanent court record information such as case/citation events and activity on appropriate computer system.
  • Determine processing required and take necessary action in accordance with court rules or refers highly complex matters to a Court Operations Supervisor, Lead worker, and/or Specialist. 
  • Provide assistance to customers in-person, over the phone, by mail, and/or electronically quickly and courteously, in accordance with data privacy regulations and the most current rules/policies.
  • Communicate effectively with co-workers, court case parties, court staff, attorneys, judicial officers, and the public.
  • Attend and participates in division/team meetings and trainings; maintains knowledge of court policies, process, and procedures.
  • Utilizes applicable technology and office equipment to perform and complete work assignments.
  • Other duties as assigned.

Typical Qualifications

Minimum Qualifications: 
Any combination of education, training, and work experience which indicates possession of the knowledge, skills, and abilities listed below will be considered.

  • Graduation from approved high school or equivalent.
  • At least one year of experience processing financial transactions, specifically handling cash and credit card transactions.
  • Demonstrated accuracy processing financial transactions.
  • At least one year previous experience providing excellent customer service in challenging situations.
  • Demonstrated ability to handle multiple tasks while meeting a high customer service demand and a high level of accuracy.
  • Ability to establish and maintain effective working relationships with others.
  • Ability to learn computer programs and technology.
  • Must be able to work at multiple locations and be able to travel between multiple locations within same day.
  • Access to reliable internet connection is required to perform work remotely as assigned.
Knowledge, Skills and Abilities:
  • Knowledge of court procedures, policies, laws, and legal terminology;
  • Knowledge of modern office practices and procedures;
  • Knowledge of customer service practices;
  • Effective customer service and interpersonal skills, with the ability to maintain a calm professional demeanor, diffuse difficult customer service interactions, and work respectfully with people from diverse backgrounds.
  • Ability to communicate effectively, both verbally and in writing, as well as understand and follow verbal and written instruction;

Preferred Qualifications:
  • Ability to communicate and work respectfully with people from diverse backgrounds.
  • Six months to two years of experience as a court clerk, in a court system, in the legal field, and/or processing financial transactions, specifically handling cash transactions with the public.
Successful candidate will be required to pass a criminal background check.

Rate of Pay:
The typical hiring range for this position is $21.00-$22.00 per hour based on qualifications and experience.
